Going digital as a painting business: a practical plan, no IT project

From paper notes to a digital painting business in four weeks: which workflows to tackle first, what they buy you, and what you can safely skip.

“Digitalisation” sounds like consultants and a big project. For a painting business with two to ten people, it is really a handful of workflows that you can switch over in weeks, and each one saves time from day one. Here is the plan, in order of biggest impact first.

Week 1: the quote, your biggest lever

In the painting trade, the speed of your quote decides who gets the job. Whoever quotes the same evening after the site visit often has the job before the competition has finished typing up their notes.

The digital workflow: photograph the rooms during the site visit, and note measurements and specifics (surface condition, filler needed, scaffolding) directly on your phone. That becomes the quote with your line items and price per square metre. In MeisterOffice you describe the work in a few words, and the AI builds the structured draft, which you just review and send.

Measurable effect: quote time drops from one or two hours to minutes, and more quotes go out on the day of the site visit.

Week 2: time tracking on site

Painters live off the square metre, but time-and-materials hours are where the margin comes from: the extra round of filler, the third coat in a custom colour, the door added at short notice. These are exactly the hours that get lost on a weekly paper sheet.

The switch: the team clocks in and out on their phone, and hours run against the project and the time-and-materials line automatically. That also takes care of the legal duty to track working time, as a byproduct instead of extra work.

Week 3: invoicing and payment close the loop

The accepted quote plus the logged time-and-materials hours become the invoice with a QR payment slip, and for bigger apartment renovations, with advance payments on a payment schedule. Incoming payments match themselves automatically via the QR reference; anyone who does not pay gets a pre-drafted payment reminder that you only need to approve.

Week 4: tidy up filing and bookkeeping

Photograph receipts instead of collecting them, keep photos and job reports attached to the project instead of scattered in your camera roll, and let bookkeeping run as a byproduct all the way to the year-end accountant export. Project documentation also means later warranty questions take two clicks instead of a search through the basement.

What you deliberately do NOT need

  • No website push first: a well-kept Google listing and fast quotes do more for a painting business than a website relaunch.
  • No ERP: systems built for 50 employees overwhelm a small business. What to look for instead is in the selection checklist.
  • No point solutions: one app for quotes, one for hours, one for invoices means keeping master data three times over. One system, one flow of data.

Does it pay off?

Conservatively calculated: three fewer office hours per week (quotes, invoices, payment matching), at a cost-covering hourly rate of CHF 100, comes to around CHF 15’000 a year, either as billable time gained or as free evenings. On top come the time-and-materials hours that no longer get forgotten. The cost of the software is a fraction of that (pricing).

Frequently asked questions

My site foreman doesn’t want an app. What now? Start small: just clocking in and out, two taps a day. Once the first month’s payroll works out without an argument over paper slips, acceptance follows on its own. And: the owner has to lead by example.

What happens to my old quotes and customer data? Export your customer list as Excel and import it, run ongoing jobs in the new system from a cutoff date, and let old cases run out. A weekend is enough to move a small business over.

Do I need new devices? No. A current smartphone per person and a laptop or tablet in the office are enough; everything runs in the browser and as an app.
