AI in the trades: where it helps day to day and where you decide

Drafting a quote, wording a payment reminder, reading receipts: seven concrete tasks where AI saves time for Swiss trade businesses, with example prompts and three things you should never hand over.

In short: in a trade business, AI mostly saves writing and typing work: first drafts of quotes, payment reminders and emails, reading receipts, summarising notes. It does not decide prices, dates or commitments. The rule that has proven itself: the AI drafts, you check, you send.

Most tradespeople who try AI do it in the evening at the kitchen table with a chat window. That works, but it is awkward and has two catches: you copy customer data into a third-party tool, and the result ends up nowhere you can reuse it. This guide shows which tasks AI really helps with, how to instruct it, and where to leave it alone.

Seven tasks where AI helps

1. The quote as a first draft

You describe the job in two or three sentences, the AI turns it into numbered line items with units and a list of exclusions. A usable prompt:

Kitchen in a 3-room flat: paint walls and ceiling twice, 85 m2 of wall, 22 m2 of ceiling, masking included, material supplied by us. Turn this into line items with quantity and unit, without prices, and list what I should state as not included.

You set the prices yourself. Your cost-covering hourly rate is not a number an AI may guess (the hourly rate calculator works it out from your own figures). How a complete quote is built is covered in the guide Writing a quote.

2. Wording a rough estimate

The delicate part is the disclaimer, not the number. Let the AI suggest wordings that clearly say “non-binding, without measurement”, then check whether they fit your case. Why this matters is explained in the guide Rough estimate.

3. A payment reminder in the right tone

The first reminder friendly, the second firm, the third with a deadline and a reference to debt collection: this is wording work that an AI prepares reliably. Deadlines and procedure are in the guide Writing a payment reminder. You read the draft before it goes out, every time.

4. Reading receipts instead of typing them

Photograph the receipt, have the amount, VAT and line items read out, confirm. This is the task with the best ratio of time saved to risk, because you can check the result against the receipt at a glance. For your accountant, the receipt counts, not the AI. More in the guide Bookkeeping for a trade business.

5. Summarising notes into a report

Keywords from your phone, three sentences of voice note, a few photos: the result is a readable work report with date, place, work done and material used. The report template shows what it should contain.

6. Emails to customers

Appointment confirmation, postponement, follow-up after the quote: short, polite emails in the customer’s language. Here too, you send.

7. Copy for your own marketing

A reference description, a Google profile, an advert. Never embellish what is not true, and leave out figures you cannot back up.

Three things you do not hand over

  1. The price. The AI knows neither your fixed costs nor the condition of the substrate on site. You pay for prices that are too low, not the AI.
  2. Binding commitments. Dates, warranties and fixed prices are your decision. What you sign or send is valid, even if a program suggested it.
  3. Technical judgement on site. Structure, moisture, electrical safety: a photo analysis replaces neither measurement nor your experience.

Data protection: what you enter into an AI tool

The revised Swiss Data Protection Act has applied since 1 September 2023. For trade businesses this mainly means that customer data does not belong in a public chat tool without thought. For most tasks, names, addresses and phone numbers can be left out or replaced by placeholders (“customer A, Zurich”). For tools built into your business software, clarify where the data is processed and stored and whether requests are used for training.

How to start without much effort

  • Pick one task you have every week, for example reminder drafts or the first draft of the quote.
  • Measure for two weeks how long it takes before and after.
  • Note what the AI got wrong. Those are your check points for the next round.

In MeisterOffice, the quote draft and photo receipt capture are built in directly: the AI suggests, you check, adjust and send. What it costs is on the pricing page.
